IMPLEMENTATION
OF JOB DESCRIPTION
Attached is a copy of the
Departmental policy on Job Description for your further consideration as well as an
amended Job Description pro-forma for your attention and further distribution. It will be
noticed that minor changes have been affected to the Job Description pro-forma in an
attempt to simplify the completion of the aforementioned form and to avoid any possible
confusion.
It has been realised that the Job
Description process has not been undertaken as timeously as had initially been hoped. This
could largely be attributed to the sizeable nature of the task and possibly to the
perceived complexity of the concept as a whole. At the time of this circular all
Directorates within the former Department of Agriculture have been given the opportunity
to request assistance from the Directorate: Corporate Services, Management Advisory
Services Sub-directorate. To date very few sessions have been facilitated upon request,
however, all Job Description Coordinators have been addressed.
Standardisation and consistency have
proven to be areas of much concern, especially with the consequences that Job Evaluation
may have. It has therefore been decided in order to facilitate consistency that a copy of
the sample Job Descriptions as compiled by the Job Description Co-ordinators for all
occupational classes or any unique Job Description be forwarded to the Directorate:
Corporate Services for the attention of the Management Advisory Services Sub-directorate.
It should be pointed out that all Job
Descriptions completed to date will not have to be rewritten, however it is requested that
the new format be utilised as soon as possible. Electronic copies are available upon
request.
Your attention is brought to the time
frames that have been allocated for the completion of this exercise. All Job
Descriptions drafted by the Job Description Coordinators must be completed and must reach
the aforementioned office on or before 30 September 1999. Thereafter all Job Descriptions
for all posts must be completed before 31 December 1999. This will be the last extension
made as this exercise must be completed.
Directorates are encouraged to make
use of the project team appointed to facilitate the implementation of Job Descriptions.
